Purchasing and Reducing Pro Licenses in Your Team

Prerequisites

  1. To purchase Pro licenses for your Team, you need to have a Pro license with an active subscription (learn more about Pro).
  2. To purchase Pro licenses for your Team, you need to be the Team Owner (learn more about Team Roles).
  3. To reduce Pro licenses in your Team, you need to have unassigned Pro licenses.

Understand how prorations work

To ensure fair and accurate charges, when you purchase licenses for your Team, we’ll charge a prorated cost for the additional licenses until the end of your billing cycle.

This means that if, for example, you purchased a single Pro license on January 1st, and on January 15th you decided to purchase 10 additional licenses for your Team, the cost of these 10 licenses will be prorated to the number of days left until the end of the billing cycle – whether it’s monthly or yearly.

Purchase Pro licenses for your Team

Purchase a single Pro license using web desktop invites

As the Team Owner, if all of the available Pro licenses that you’ve purchased for your Team are assigned, upon inviting a user who has no Pro license to one of your web desktops as Editor or Manager ( learn more about Access Permissions), you’ll be prompted to add that user to your Team and purchase an additional Pro license which will be automatically assigned to them.

To do that, simply follow the steps described in this article, and confirm when prompted to purchase an extra Pro license.

Purchase Pro licenses in bulk

This option is more suitable for bigger teams who want to enjoy the flexibility of using Team Roles (learn more about Team Roles) and have Team Admins who can assign and revoke Pro licenses to members of their Team, on behalf of the Team’s Owner.

In this case, the Team Owner – the only member who has access to the billing section – can purchase multiple Pro licenses every time, and allow his Team Admins to assign and revoke Pro licenses according to the company’s needs.

Here’s how it’s done:

  1. Click on the profile icon on the top menu.
  2. Click on My Team.
    Alternatively, you can click on Billing.
  3. Click on Purchase More Licenses or Manage Your Licenses.
    Alternatively, you can click on Update Quantity.
  4. Increase the Pro license quantity to the amount that fits your needs.
  5. Click Confirm.

    By clicking Confirm your billing method will be charged and you’ll be immediately able to assign Pro licenses, and as we’ve mentioned before, the charges will be prorated for changes made during an existing billing cycle.

  6. A popup will appear confirming the successful update of your subscription. Click OK.
  7. If you go into My Team again, you’ll see that the quantity of licenses has been updated! Now you can add new members to your Team.

Reduce Pro licenses quantity

As we’ve mentioned in the prerequisites, reducing the quantity of Pro licenses that are available in your Team is possible only when there are unassigned licenses in your Team, i.e. more Pro licenses than members in the Team. Here’s how you can reduce the Pro licenses quantity:

  1. Click on the profile icon on the top menu.
  2. Click on My Team.
  3. Look for the Licenses quantity.

    If you see that you have fewer Pro licenses assigned than the total licenses quantity, this means that you can reduce the difference from your subscription. For example, if you see Licenses: 1/4, this means that you can reduce 3 Pro licenses from your subscription.

    If you see that the number of assigned Pro licenses is equal to the total licenses quantity, this means that to reduce the quantity you’ll have to remove members from your Team ( learn more about Removing Team Members), first. For example, if you see Licenses: 4/4, this means that you can’t reduce Pro licenses until you remove members from your Team.

  4. Click on Manage Your Licenses.
  5. Decrease the Pro license quantity to the amount that fits your needs. Remember, the quantity can’t be less than the amount of assigned Pro licenses.
  6. Click Confirm.

    By clicking Confirm your subscription will be automatically updated and the Pro licenses that have been reduced will be immediately removed from your Team. Starting from the next billing cycle, you will be charged for the updated license quantity.
